How to
Transcribe Microsoft Teams meetings on your Mac, privately
Teams transcription depends on what your organisation switched on. Trace runs on your Mac instead, with no bot, no admin settings and no cloud.
Microsoft Teams has transcription built in, but whether you can use it is not up to you. Admins control the recording and transcription policies, the transcript is stored with the meeting in Microsoft’s cloud, and everyone is notified when it starts. Joining someone else’s tenant as a guest, you often get nothing at all.
Trace sidesteps all of that by recording from your side. It captures the meeting audio your Mac plays through a system-audio tap and your mic on a separate track, then transcribes both on-device. No policy to enable, no banner in the meeting, no file in someone’s SharePoint.
Every session ends up as a folder of plain files on your disk, with a markdown transcript ready to copy the moment it finishes. After the one-time model download, it all works with the network off.
Transcribe a Teams call in four steps
- Install Trace and grant two permissions. Microphone when you first run Trace, and System Audio Recording the first time you record. Both are standard macOS prompts, and neither one touches your screen.
- Start recording as the meeting starts. Press ⌘⇧R, or click Start Recording in the menu bar. It works the same whether Teams is the desktop app or a browser tab.
- Flag key moments as they happen. Press ⌘⇧K to star a moment, with an optional note. Decisions and action items are easy to find in the transcript later.
- Stop and paste the transcript. Press ⌘⇧R again. Trace transcribes on-device into clean markdown with your starred moments inline, ready to copy and paste.
FAQ
Do I need anything from my IT admin?
No. Trace does not touch Teams, so no recording policy, licence or admin setting is involved. It records the audio your Mac is already playing.
Will Teams notify people that I am recording?
No. The notification banner only appears when Teams’ own recording or transcription starts. Trace does not trigger it. Recording consent laws still apply, so know the rules where you are.
Does it work when I join as a guest in another organisation?
Yes. Guest calls are where Teams’ own transcription is least available, and where recording from your own Mac helps most.
Does it work with Teams in the browser?
Yes. Trace records system audio, so the desktop app, Safari and Chrome all work the same.
Where does the transcript go?
Into a folder on your Mac, as transcript.md and transcript.json next to the two audio tracks. Nothing is uploaded anywhere.
